Cancellation & Refund Policy

We understand plans can change. Here is how cancellations and refunds work.

Refund Tiers

Refund amounts are based on how far in advance you cancel before the scheduled departure date. Cancellation charges reflect the costs we have committed to our suppliers (accommodation, transport, activities) at each stage.

60+ days before departure

Full refund minus £50 admin fee

30 – 59 days before departure

50% refund

15 – 29 days before departure

25% refund

Under 14 days before departure

No refund

How to Cancel

To cancel your booking, please send an email to hello@travelbuddytrips.com with your full name, booking reference and the reason for cancellation. Cancellations are effective from the date we receive your written notice. We will confirm your cancellation and any applicable refund within 7 working days. Refunds are processed back to your original payment method via Stripe and may take 5 to 10 business days to appear.

Cancellation by TravelBuddyTrips

In the unlikely event that we need to cancel a trip (for example, due to safety concerns, supplier issues or circumstances beyond our control), you will receive a full refund of all payments made. We will notify you as soon as possible and offer the option to transfer your booking to an alternative trip where available.

Group Minimum Not Met

All our trips require a minimum of 8 participants. If the minimum number is not reached by the booking deadline, we will contact you with the option to either receive a full refund or transfer your booking to another trip. We will always give you at least 30 days notice if a trip is at risk of not meeting the minimum.

Unavoidable & Extraordinary Circumstances

If unavoidable and extraordinary circumstances occur at or near your destination that significantly affect the trip or your travel to the destination, you may cancel without incurring any cancellation charge and receive a full refund of all payments made. Examples include serious security problems such as armed conflict, natural disasters, significant outbreaks of disease, or advice against travel from the UK Foreign, Commonwealth & Development Office.

Transfer Your Booking

If you can no longer travel, you may transfer your booking to another person who meets the trip requirements. A £50 administration fee applies. Please contact us as early as possible to arrange a transfer — the new traveller takes over all rights and obligations under the booking.

Your Right to a Breakdown

Our cancellation charges are based on the costs we typically incur at each stage of trip planning. If you believe the charge exceeds our actual costs and losses for your booking, you may request a breakdown and we will refund any difference.

Travel Insurance

Travel insurance is mandatory for all TravelBuddyTrips bookings. Your policy must include cancellation cover, which will protect you in the event that you need to cancel for personal reasons such as illness, injury or unforeseen circumstances. We strongly recommend purchasing insurance as soon as you book.
