Terms & Conditions
Please read these terms carefully before making a booking.
1. About Us
TravelBuddyTrips Ltd is a UK registered company that organises curated group travel experiences. Our registered director is Andrew Oke. You can contact us at hello@travelbuddytrips.com. We act as the organiser of the packages we sell and accept responsibility for the proper performance of the travel services included in your package.
2. Booking Process
A booking is confirmed once you have paid the required deposit and received a written confirmation from us. By making a booking, you confirm that you are at least 18 years old and accept these terms and conditions on behalf of yourself and all members of your booking party. All group trips require a minimum of 8 participants. If the minimum is not met, we reserve the right to cancel the trip and issue a full refund.
3. Payment Terms
A deposit of 30% of the total trip price is required at the time of booking. If you cancel, the deposit forms part of the total amount subject to our cancellation charges (see Section 4). The remaining balance may be paid in up to 4 instalments. All instalment due dates will be communicated at the time of booking and must be met to maintain your reservation. Payments are processed securely through Stripe. Failure to meet a payment deadline may result in cancellation of your booking, with any refund calculated in accordance with our cancellation policy.
4. Cancellation Policy
You may cancel your booking at any time before the start of the trip. Cancellations must be made in writing to hello@travelbuddytrips.com. Cancellation charges are based on the number of days before departure and reflect the costs we have committed to our suppliers at that stage: 60 or more days incurs a £50 administration fee only; 30 to 59 days retains 50% of the total amount paid; 15 to 29 days retains 75%; and under 14 days no refund is available. If you believe the cancellation charge exceeds our actual costs, you may request a breakdown and we will refund any difference.
You may not need to cancel — you have the right to transfer your booking to another person, provided they meet the trip requirements. A £50 administration fee applies to transfers. Please contact us as early as possible to arrange a transfer.
If unavoidable and extraordinary circumstances occur at or near your destination that significantly affect the trip or your travel to the destination, you may cancel without incurring any cancellation charge and receive a full refund of all payments made.
We strongly recommend purchasing travel insurance that includes cancellation cover.
5. Our Responsibilities
We will make every effort to ensure that the travel services making up your package are delivered as described. If any significant change is necessary, we will inform you as soon as possible. We accept responsibility for the acts and omissions of our suppliers in performing the services included in your package, subject to these terms. We do not arrange flights and accept no responsibility for flight arrangements made independently by you.
6. Your Responsibilities
You are responsible for ensuring that you have a valid passport, any required visas, and appropriate travel insurance for the duration of your trip. You must comply with local laws and customs at your destination. You agree to follow the instructions of our trip coordinators and behave in a manner that does not endanger or inconvenience other group members. We reserve the right to remove any participant whose behaviour is disruptive or unsafe.
7. Travel Insurance
Travel insurance is mandatory for all bookings. Your policy must cover medical expenses, repatriation, cancellation, curtailment and personal belongings for the full duration of your trip. We may ask for proof of insurance before departure. We are not liable for any costs arising from your failure to obtain adequate insurance.
8. Complaints
If you have a complaint during your trip, please raise it immediately with your trip coordinator so we can try to resolve it. If the matter cannot be resolved on the ground, please contact us in writing at hello@travelbuddytrips.com within 28 days of your return. We will acknowledge your complaint within 7 working days and aim to provide a full response within 28 days.
9. Changes to Terms
We may update these terms from time to time. Any changes will be published on this page with an updated date. Changes do not apply retrospectively to bookings already confirmed. We encourage you to review these terms periodically.
10. Governing Law
These terms and conditions are governed by the laws of England and Wales. Any disputes arising from or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
